Terms & Conditions

1 – RESERVATION AND PAYMENT

1.1 When making a reservation, the customer agrees to pay a 50% deposit to secure availability on the specified date.

1.2 The remaining 50% of the rental fee must be paid on the equipment setup date. Failure to make the payment by this date may result in the loss of the reservation.

1.3 The reservation will only be considered valid after proof of payment of the deposit has been sent and confirmed by Azorbox.

1.4 Any change of date by the customer is subject to Azorbox's availability. If it is not possible to reschedule, the cancellation conditions set out in point 6 will apply.

2 - CLIENT RESPONSIBILITIES

2.1 The client is responsible for providing accurate information about the location and timing of the event.

2.2 The client agrees to provide a suitable location for the installation of the equipment, with access to adequate electrical power, and, if possible, internet connectivity via Wi-Fi or network cable.

2.3 The customer is responsible for ensuring adequate access conditions for loading and unloading the equipment, as well as parking near the assembly site.

2.4 If access or space conditions are not adequate and prevent the safe installation of the equipment, Azorbox reserves the right to cancel the service without refund.

3 - EQUIPMENT USAGE

3.1 The equipment will be used solely for recreational purposes and should not be used in a harmful, illegal, or improper manner.

3.2 The client is responsible for ensuring the security of the equipment from setup to dismantling.

3.3 Throughout the event, there will always be a technician accompanying the equipment.

3.4 Children can only use the equipment in the presence of adults.

3.5 All props used must be returned in their entirety.

3.7 At outdoor events, the customer must ensure adequate coverage and protection against inclement weather (rain, wind, dust, etc.). Azorbox reserves the right to suspend or not start the service if weather conditions do not guarantee the safety of the equipment and the operator.

3.8 Any damage or loss of accessories (such as props, frames, or stands) may be charged to the customer after the event.

4 - OPERATING SCHEDULE

4.1 The regular start time of service for the rental of photobooth and 360 video booth is from 9:00 to 22:00.

4.2 If the service starts after 22:00, it is subject to an extra fee of €40/hour + VAT. To ensure availability and avoid interruptions, it is recommended that you inform us in advance if you wish the service to start after 22:00.

4.3 The product packs have associated durations. When selecting a pack, the service must run without interruption during the period stipulated in the selected pack, and cannot be split across several periods during the day of the event..

4.4 The price of the packages is fixed and corresponds to the complete service under the defined conditions. If the customer chooses to use a period shorter than that included in the package, no reduction or discount will be applied to the price.

4.5 Assembly and disassembly time is not counted in the contracted period of use.

4.6 If the start of the event is delayed for reasons beyond Azorbox's control, the period of use will remain as agreed, without compensation or extension.

5 - DAMAGE AND LIABILITY

5.1 The client is responsible for any damage caused to the equipment during the rental period.

5.2 In the event of significant damages, the client agrees to cover the necessary expenses for repairing or replacing the equipment.

5.3 Azorbox is not responsible for temporary service interruptions caused by power failures, local internet failures, or other conditions beyond its control.

6 – TEAM MEALS

6.1 During the service period, the customer must provide a full meal for one member of the Azorbox team whenever the event includes meal times (lunch or dinner).

6.2 If no meal is provided at the event venue, an additional cost of €40 will be charged, corresponding to the technician's meal and travel expenses, plus 1 hour of absence from the venue, which will be deducted from the contracted time.

6.3 In the case of the Video Booth 360 service, meals are mandatory for the Silver and Gold packages, and optional for the Bronze package.

7 – SPECIAL EVENTS AND LARGE-SCALE EVENTS

7.1 Musical events (such as parties, festivals, concerts, or DJ performances) or events with more than 500 participants are subject to a specific price list due to the additional technical and operational requirements involved.

7.2 During special festive periods, namely Christmas, New Year's Eve, and Carnival, double the regular rates apply, regardless of the package selected.

7.3 Azorbox reserves the right to request additional information about the type and size of the event before confirming the reservation, to ensure the adequacy of resources and technical staff.

8 – CANCELLATION AND REFUND

8.1 In the event of a cancellation by the client up to 2 months before the scheduled event, the client will be eligible for a 25% refund of the total reservation amount.

8.2 If the client cancels within less than 2 months before the scheduled event, no refund will be issued. This policy is in place as it may result in the loss of another potential reservation for the specific day in question.

8.3 Azorbox reserves the right to cancel a reservation in unforeseen circumstances, refunding the total amount paid by the client.

8.4 In cases of force majeure (such as severe weather, government restrictions, or proven logistical problems), Azorbox may propose rescheduling at no additional cost, subject to availability.

9 - PRIVACY AND COPYRIGHT

9.1 During events, our equipment may collect audio and visual data. By using our equipment, you are implicitly consenting to the processing of your data by Azorbox for internal and/or external communication purposes.

9.2 By using our equipment, you are consenting to the use of captured images by Azorbox for promotional purposes unless a written request to not use images in which you are present is submitted to geral@azorbox.com.

9.3 All images captured by the equipment are the intellectual property of the customer and can be delivered in digital format according to the package purchased.

10 - FINAL PROVISIONS

10.1 These terms and conditions constitute the complete agreement between the parties and supersede all prior agreements, whether written or oral.

10.2 Azorbox reserves the right to amend these terms and conditions at any time. It is the responsibility of the client to periodically check for updates.

10.3 For any dispute arising from the interpretation or enforcement of these terms, the Judicial Court of the District of Ponta Delgada shall have jurisdiction, with express waiver of any other.

By proceeding with the reservation, the client acknowledges and agrees to the above-mentioned terms and conditions.

11 - PRICE UPDATE

On January 1, 2025, the prices of Azorbox products were reviewed and changed. By awarding a service to Azorbox from this date onwards, you agree to the updated prices.
